Custom File Use & Ownership Policy

Solano Laser Craft accepts customer-uploaded images, logos, text, and artwork ("Customer Files") for use in engraving, cutting, and personalizing products. Because this is central to how we do business, this policy sets out clearly what you are agreeing to when you upload a file, and what we do (and don't do) with it. This policy is incorporated into our Terms of Service.
Your Representations About Uploaded Content
By uploading or submitting a Customer File, you represent and warrant that:
- You own the copyright and other intellectual property rights in the file, or you have obtained all necessary permissions, licenses, or consents to use it for the purpose of having it engraved or reproduced on a physical product;
- The file does not infringe the copyright, trademark, right of publicity, privacy right, or any other right of any third party;
- If the file includes a photograph or likeness of a person, you have that person's permission (or, if a minor, a parent/guardian's permission) to use their image in this way;
- The file does not depict or promote hate speech, violence, illegal activity, or sexually explicit material involving minors; and
- The information and files you provide are accurate and complete.
This representation is the basis of the required "I agree that I have the right to use any artwork submitted" checkbox on the custom order page.
Limited License Granted to Us
By submitting a Customer File, you grant Solano Laser Craft a limited, non-exclusive, revocable license to access, view, reproduce, resize, convert (e.g., to vector/SVG format for engraving), and otherwise technically modify the file solely as necessary to produce your order and to communicate with you about it (e.g., sending you a proof). This license does not transfer ownership of the file to us, and we do not claim any ownership rights in your original artwork or content.
Indemnification for Infringing Content
You agree to indemnify, defend, and hold harmless Solano Laser Craft, its owner, and employees from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising out of or related to a Customer File you submitted, including any claim that the file infringes a third party's intellectual property or other rights. This means that if someone sues us because a file you uploaded infringed their rights, you are responsible for the resulting costs and liability.
Right to Reject Files
We reserve the right, in our sole discretion, to decline, delay, or stop production of any order if we believe the submitted file may infringe a third party's rights, is unlawful, or is otherwise inappropriate. If we decline an order for this reason, we will notify you and issue a refund for the affected item(s) unless production has already begun.
File Format and Preparation
We prefer SVG or PNG files. There is no fee for basic file setup. Other file types may require conversion, which could add time to your order.
Proofs and Approval
For custom orders, we send a digital proof for your approval before production begins. Production starts only after you approve the proof, so please review your spelling and design details carefully at that stage.
File Retention and Deletion
We retain Customer Files for up to 1 year after order completion, after which they may be deleted from our systems. You may request deletion of your file at any time by contacting us, subject to any files we are required to retain for legal, tax, or dispute-resolution purposes.
Marketing and Portfolio Use
By placing a custom order, you grant Solano Laser Craft permission to photograph the finished product and to use those photographs in our website gallery, on social media, and in our other marketing materials. Because our work is personalized, those photographs may show the names, dates, monograms, or artwork engraved on the piece.
We do not publish or distribute your original uploaded files, and we do not identify you as the customer or share your contact information.
If you would prefer we not share your piece, tell us when you place your order — or contact us at any time afterward — and we will exclude it and remove it from future use where reasonably possible.
